There is a particular kind of excitement that comes with deciding to build a pool. You start picturing summer afternoons, the kids splashing around, guests gathered on the patio. It is a genuinely wonderful thing to look forward to. But that excitement can curdle quickly if you reach the middle of your build and discover your contract says something very different from what you thought you agreed to. The good news is that a few well-placed questions, asked before you sign anything, can protect you completely. Builders who welcome these questions are the ones worth trusting.

At Coastline Pools, we hear from homeowners across Newcastle and the Hunter Region who have done their research, toured a few display centres, and still feel uncertain about what they are actually agreeing to when a contract lands in front of them. That uncertainty is completely understandable. Pool contracts can be detailed documents, and the difference between a builder who is transparent and one who is not often comes down to how they respond when you push for specifics. So here is a checklist you can bring into any consultation, including ours, and use it to judge the answers you get.

Adam from Coastline helped us with our new pool. Great service & advice. Pool was planned, approved and built before my friends was even approved. Have referred them and will continue to do so

Christopher Bell

Our initial consultation with Adam was easy, informative and very flexible to suit our pool needs. The install was just as easy, the process was fully mapped out and broken down making it a seamless experience.

I have been using Coastline Pools for about 5 years now, probably 2 years after I put my pool in. Then, being new to what to do to maintain my pool the Coastline staff at Raymond Terrace have been fantastic.

Adam gave me great confidence around tricky elements that other companies couldn't get past. They know what they are doing and deliver a high quality pool. Definitely a company to install your new pool!

Nomy Lou Halifax

It's clear they take pride in their work, and I wouldn't hesitate to recommend them to anyone looking for top-notch service. Thanks again to the entire team at Coastline Pools!

Start by asking about timeline guarantees and what happens when weather delays occur. A reputable builder will give you a realistic projected completion window and explain clearly how weather events affect that schedule. In Newcastle and the Hunter, summer storms can push things back, and you deserve to know upfront whether a delay gets documented, communicated promptly, and managed professionally, or whether it simply happens without warning. Ask whether delays are tracked in writing and how you will be kept informed throughout the build.

Next, ask about variation clauses. A variation is any change to the original scope of work, whether you request it or whether site conditions require it. Ask what triggers a variation, who authorises it, and whether you will receive written notice and a cost breakdown before any additional work begins. This is one of the most common sources of budget blowout for first-time pool buyers, and a builder who explains it clearly upfront is showing you exactly how they operate.

The deposit structure is equally important. Ask what percentage is required upfront, what the subsequent payment milestones are, and what each milestone is tied to in terms of completed work. A structured, milestone-based payment schedule is a sign of a well-organised business. Be cautious of any arrangement that asks for a large proportion of the total cost before significant work has begun.

Council approval is another area where clarity matters enormously. Ask directly: who is responsible for lodging the development application or complying development certificate, who manages the back-and-forth with council if additional information is requested, and how council timeframes affect your overall build schedule. Some builders handle this end to end, others hand it back to the homeowner. Know which one you are dealing with before you sign.

Finally, ask what happens specifically if your build is delayed and you miss a personal deadline, such as having the pool ready for Christmas. A good builder will not overpromise. What they will do is give you an honest picture of the schedule, explain what they can control and what they cannot, and help you understand whether a late October start gives you a realistic shot at a December swim. That honesty, even when the answer is not exactly what you hoped to hear, is far more valuable than a vague assurance that everything will be fine.

What To Do Next

If you are a Newcastle or Hunter Region homeowner with a Christmas swim deadline in mind, October is the window that makes or breaks that goal. Pool builds involve multiple stages: design, approvals, excavation, construction, and finishing. Each of those stages takes time, and council approval alone can add weeks to the front end of a project if it is not lodged promptly. Homeowners who are consulting with builders right now are the ones who will be swimming in December. Those who wait until November are likely looking at the new year at the earliest.

The checklist above is not designed to make builders nervous. It is designed to give you, the homeowner, a reliable way to tell the difference between a builder who operates with transparency and one who does not. Every question on that list has a straightforward answer if the builder in front of you runs an organised, honest operation. If the answers are vague, defensive, or come with a lot of qualifications, that tells you something too.

At Coastline Pools, we genuinely welcome these questions because we have clear, specific answers to all of them. We build pools across Newcastle, the Hunter Valley, and the surrounding region, and we know this area well, the council requirements, the soil conditions, the summer build pressures, and the seasonal windows that matter to homeowners who want to swim before Christmas.

The best thing you can do right now is book a consultation and bring this checklist with you. Come prepared, ask everything on it, and add any questions of your own. A good consultation should leave you feeling informed and confident, not rushed or pressured. If you walk out of a meeting with a builder feeling more confused than when you walked in, that is useful information.

Reach out to the Coastline Pools team today to arrange a no-pressure consultation. We will walk you through the process honestly, give you a realistic picture of what is achievable in your timeframe, and help you understand exactly what you are agreeing to before anything is signed. The Christmas swim is absolutely still on the table, but the time to move is now.
